Internal Policy for Creating AI-Generated Podcast and Infographic Summaries of Articles Published in the journal

1. Purpose
This policy defines the standards and procedures for creating, reviewing, and publishing AI-generated podcast-style audio summaries and graphic-style infographic summaries based on articles published in Acta Biologica Slovenica under open licenses such as CC-BY-SA.
2. Scope
This policy applies to:
- The editorial team, communications staff, and any personnel involved in the production.
- All audio content (including “podcast-style conversations,” “audio overviews,” or summaries) generated partially or fully using AI tools such as Google NotebookLM.
- All graphic content generated partially or fully using AI tools such as Google NotebookLM.
3. Licensing and Legal Requirements
- Articles published under CC-BY-SA 4.0 allow remixing, transforming, and sharing in any format, including audio, and including commercial reuse.
- All AI-generated adaptations of these articles must comply with:
- Attribution (BY) — proper credit to authors, title, journal, year, DOI/URL, and license.
- ShareAlike (SA) — the podcast must also be released under CC-BY-SA 4.0.
4. Workflow and Responsibilities
4.1 Article selection
- Only articles published under CC-BY-SA or equivalent open licenses may be converted into AI-generated audio and graphics.
- Priority should be given to articles with broad interest, clarity, or timely relevance.
4.2 Author approval
- After production of podcasts and infographics, authors can be contacted to approve the audio track. Without explicit authors’ approval a disclaimer clarifying that will be added to the podcast page (see 4.5).
4.3 Creation of the AI-generated content
- NotebookLM or other approved AI tools may be used to generate:
- conversations between AI hosts,
- explanatory summaries,
- high-level overviews of the article’s content,
- infographics.
- AI tools must not generate speculative conclusions or interpretations not supported by the original article.
4.4 Editorial review prior to publication
A human editor must review the generated content to check for:
- factual accuracy,
- correct representation of the authors’ findings,
- inappropriate tone or unintended distortions,
- potential ethical issues.
The editor may revise prompts or regenerate the content if needed.
4.5 Attribution and transparency
Every published podcast episode must include:
- Full citation of the original article (authors, title, journal, year, DOI).
- License notice: This adaptation is licensed under CC-BY-SA 4.0.
- Transparency notice: This audio was generated using AI (Google NotebookLM).
- Disclaimer: The authors of the original article are not responsible for and do not necessarily endorse this adaptation (if authors did not explicitly approve the podcast).
All this notices must be included also on dedicated podcast pages on the journal’s homepage.
4.6 Storage and archiving
- All files, metadata, and author approvals must be archived in secure journal storage.
- Files should be indexed by article title and DOI for future reference.
5. Ethical guidelines
- The AI-generated content must not present the content as the authors’ own voice or opinions.
- Any ambiguous or speculative statements must be removed or clarified.
- The journal must ensure accessibility (e.g., audio track availability).
- AI-generated content must never replace peer-reviewed content; it serves only as an outreach and accessibility tool.
6. Review of this policy
This policy will be reviewed annually or upon major updates to relevant technologies or licensing standards.
